The record of a meeting: recording, transcript, notes, decisions and the tasks that came out of it.

Overview

Meetings holds the record of a meeting rather than the invitation to one. Past, upcoming and live meetings are on one index, with a strip at the top saying plainly which providers are connected, so you know what is available before you rely on it. A meeting can carry a recording, a transcript, generated notes, and the action items the conversation produced, and those action items can be imported as real tasks so the decisions do not stop at the end of the call. A meeting that came from a connected calendar or a recorder says so, because a record you did not write yourself should say where it came from.

Important to know

Limits, permissions, and sharp edges to keep in mind.

  • Importing action items creates real tasks. They are ordinary tasks from that point on and are not linked back for editing.
  • Regenerating notes replaces what is there. The source is kept, so a regeneration that is worse can be restored.
  • A recording and a transcript are personal data about everybody in the meeting. Visibility is set per meeting, and a share link makes the record reachable by whoever holds it.
  • What is available depends on which providers are connected. The status strip is the answer, not a guess.
  • Series trend needs more than one meeting in the series. A single meeting has nothing to compare against.

How to use it

The primary workflow, start to finish.

  1. 1Open Meetings and check the provider strip at the top so you know what is connected.
  2. 2Find the meeting on the Past, Upcoming or Live tab, or search for it.
  3. 3Open it to read the notes, the transcript and the action items.
  4. 4Review the action items and import the ones that are real work. They become tasks.
  5. 5Share the record with a link if somebody outside the meeting needs it, and set the visibility deliberately before you do.

FAQ

Do imported action items stay linked to the meeting?
They record where they came from, but they are ordinary tasks from then on. Editing the task does not change the meeting notes, and editing the notes does not change the task.
Can I undo regenerated notes?
Yes. The source is kept, so you can restore it if the regeneration reads worse than what it replaced.
Who can see a recording?
Whoever the meeting visibility allows, plus anybody holding a share link you have created. Both are set deliberately, and a recording is personal data about everybody present, so set them before sharing rather than after.
Why does a meeting say where it came from?
Because a record you did not write yourself should say so. An imported meeting names its connector, so you can tell what is authoritative and what is a copy.
Something is missing from a meeting. Why?
Check the provider status strip first. Most gaps are a provider that is not connected rather than a meeting that failed.
